Eye contact with the audience

What’s most important in a formal presentation is making eye contact with the audience. Look into the eyes of your audience, sitting in front of you. Don’t make eye contact with a specific person, but with your entire audience. Otherwise you are not engaging your audience, you are just giving presentation and talking to your own self. If your eyes are wandering here and there, or gazing at the PowerPoint slides or looking down you are actually responsible for the lack of attention of your audience. They may get bored and look for some other subjects of interest. Make enough of eye contact, but don’t keep staring at someone for long it may look flirtatious or intruding into privacy.

Let your personality speak

Your personality has an aura, let it radiate when you are presenting. Be yourself, let your true self impress all. Don’t think much about the audience in front of you, just shoot your best. Whether the audience is corporate members or critics, show your character, charm, right voice pitch, pronunciation, command over the subject, confidence and knowledge. Don’t present like a robot, add spice to the presentation. You may make some movements, but it should be natural.

Too much of text

Too much of text can be fatal for your presentation. Always remember people are not interested in reading long paragraphs, they are interested in listening to you instead. So keep your text input bare minimum, don’t let it destroy nice visuals or the layout. You may use text in form of short sentences, bullets, flowcharts, and as headers.

Don’t preach, interact

No one likes to be preached, taught, so talk to your audience, interact with them in the language they know. Keep the presentation formal yet conversational. It will also keep them interested and attentive. You may ask questions, ask for suggestions and tips, let them ask questions.

Keep it light and amusing

Despite the fact that it’s a formal presentation keep it simple, light hearted and interesting. It’s always good when people laugh with you. It will not only keep the audience engaged and alert, but they will look forward to hear more from you; because they may learn from you and not get educated and taught.

Know the subject

Knowledge is most important while speaking. And extensive reading boosts knowledge. Learn as much as you can, it will always help in speaking. Before you speak, do your homework. Make sure you know the subject before speaking. Your words should add value to the subject and not just fill space.

Speak loud and clear

Speak clearly, without mumbling or mispronouncing. Be careful while speaking in front of non-native speakers. Avoid unnecessary filler words

Stand straight and confident

Standing posture speaks of confidence. Stand erect, shoulders back, weight evenly distributed on both feet and knees relaxed. Don’t keep moving or shaking legs and heels. It shows nervousness and it’s distracting too. Movements should be outcome of a purpose.

Hand gesture

Your hand gestures speak of your confidence level, state of mind and conviction power. Your hands can visually illustrate your intended message. Avoid negative gestures like hand clasping, hands in pocket, fumbling objects.

Eye contact

Don’t forget to look into the audience’s eyes. Make proper eye contact with confidence rather than gazing at ceiling, wall, floor or other objects in the surrounding.

That’s all it takes to make the first move. Once you are into it, there’s no look back. You will just improve with each trial. Gear up for the public speaking.

-Using too many keywords is one of the number one mistakes that many Adwords users make.  You want to stay away from generic keywords, and stick only to keywords that directly pertain to your ad.  Otherwise you’ll have a lot of clicks from readers that were misled, that don’t amount to anything.

-Remember to use your relevant keywords in your ad title and description.  A big mistake is forgetting to do this, and then you have an ad that doesn’t seem to pertain to what a reader is currently surfing.  The whole point of Adwords is to hitch onto keywords on other sites for your ads.  Leaving those keywords out means that your ad is less likely to be noticed.

-Walk that fine line between clarity and keyword density.  Your keyword should be prevalent so that any searchers have no trouble running into your ad, but don’t overload your statements so that the keyword is senselessly repeated too many times.

-Always track your results, if one keyword set up isn’t working switch to a different one.  There’s no sense in continuing a campaign that hasn’t been fruitful.  That’s just beating a dead horse.  Instead, try different things if you’re not seeing the results you want.

Now that you’ve got a good domain name, you need somewhere to host that domain.  There are a variety of website companies that offer such services, for a nominal fee.  You’ll have to pay for registration, as well as maintaining that domain name every year.  While you’re purchasing the name, you’ll also want to look into data storage, as you have to have storage in order to put anything on your website.

Building an audience isn’t so much about what you write yourself, but how you communicate.  Your Twitter account, if you’re using it to sell an idea, business, or product, needs to become a community forum.  Your tweets are only useful if you can guarantee people are reading them.  The way to do that is to build followers, and the best way to build followers is getting them involved.

Make use of Twitter’s search function.  See what people are saying involving your concepts or business, and reply to them through your page.  Ask questions, or comment on tweets that they’ve made regarding you.  Start a running dialog, so that they’ll gain more interest and also mention you on their page, which will also build interest with a new audience.

Consider how useful the ability to re-tweet really is.  By re-tweeting you draw attention to a comment someone else made, and put your own spin on the material.  This will be noticed by the original tweeter, and your audience.  Both can work to build the traffic on your page, and the more meaningful views you’ll garner.

Finally, everyone likes pictures, especially search engines.  The more pictures you use, the more people will be drawn to your page.  I’m not talking about pictures of anything.  But try to upload meaningful and visually insightful pictures that relate to your Twitter page as often as possible.  These will get more comments, and more chances for re-tweets.  Both of which are necessary to build your page.

So obviously the first step is to create a professional Twitter page.  Whether for your business, or personal business ventures, make sure that you update often.  The quickest way to be forgotten is to tweet only once every few days.  You have to keep your Twitter page active, usually with multiple tweets per day, so that there is always more content for an interested party to keep tabs on.

Use Twitter search to narrow down people, or other businesses that might be interested in finding your Twitter page.  Try and contact them, either through mention on your Twitter account or via personal message to let them know about you.  This way you can gain more and more followers.  Your efforts won’t be very successful if you don’t have very many followers accessing your tweets.

Remember to take care of your followers as you gain them as well.  Respond to them, mention them, etc.  Make them involved, as they will become interested, and also mention you in their tweets, and that’s free advertising.  Keeping your followers interested is key to building the Twitter page, and increasing your effectiveness.

Finally use Twitter’s search function to see how many mentions you are getting on other pages throughout the site.  This is a good way to keep up on how successful your efforts have been.  Also you’ll be able to keep track of what you should change to accommodate the greater interest.  Twitter feedback is valuable, so take full advantage of the ability to see accurate feedback so quickly.

Investor

Investors are a group of people who invest their hard-earned money to get return from your business. They invest in your business because they trust you, and they see hope in your business. Till the time you are fulfilling their expectations, they will keep their money in your business. Hence, you need to keep them apprised of any development in your business. Keep on giving them good news, and your business will be in good shape.

Employee

Your employee is the second pillar of your business. It is your employees only that can make or break your business. Your business solely depends upon their performance to meet the investors’ expectations, and to deliver on the promises made to your customers. It is thus in your best interest that you keep your employee happy. A happy employee will satisfy the needs of many customers, and will present a favorable picture to investors, whereas, a disgruntled employee is a big deal breaker. They will piss everyone off, including you.

Customers

It is the customers for whom you have erected such a giant structure, raised money, and hired so many highly qualified employees. The end goal of your business is to serve this group of people, and all your energy should be channelized to do so. The moment you step away from your path, your business is doomed. Do not let your vision blurred by the shine and sparkles of advertisements and press coverage, you have not achieved anything if you have not served your customer right.

A parting thought

Which one of the three is more important? Well, this is tricky to answer as none of them is more important than rest of the two. You need to make a balance.

Form an equilateral triangle placing each one of them at each corner of the triangle, and you should sit right in the center, equidistant from each one of them.

In this part, we will see the two different methodologies namely DMAIC and DMADV that 6 Sigma projects employ. DMAIC is used when the business needs to improve an existing business process, whereas, DMADV is used when the business needs to create a new product or process design. Each one of them consists of five phases.

DMAIC

  • D: Define the problem in the business process. In this step, the problem definition takes into account the customer’s concern and the business goal to achieve.
  • M: In this step the important aspects of existing business process is measured, and relevant data is collected. This is further used as the baseline.
  • A: The data collected in M phase is analyzed, and causal relationship (cause and effect) is established between the various factors. One should consider all factors. The root cause of the defect (problem) is found.
  • I: Improve. Improving or optimizing the process is undertaken in this phase. For this the data gathered is analyzed using techniques like design of experiments, standard work, and poka yoke or mistake proofing and future state process is created.
  • C: Control. To avoid any costly defect or loss of quality, it is important for a business to ascertain that it can control and correct any deviations that might happen from the target.

DMADV

  • D: In this stage, the design goal is defined, which is consistent with your business strategy and client’s demand.
  • M: Product capabilities, production process capabilities, characteristics of CTQs (critical to quality), and risks are identified in this phase.
  • A: Analyze. In this phase different design alternatives are developed. The best design is selected in this phase after careful evaluation of design capability.
  • D: Design. In this step the design is optimized and detailed. Design verification also takes plade here. Depending upon the need, multiple design simulation is run in this phase.
  • V: Verify. The design is verified, and pilot runs are done to check for the consistency after the production process is implemented followed by handing over of design to process owner.

What makes Six Sigma different from other quality improvement mechanisms?

Make sure you have business cards with you all the time.  Whenever you’re in the appropriate scenario, like a work related conference or event, they will be very useful.  Meeting people is great at the moment, but you need a way to keep in contact beyond.  A business card is the fastest and easiest way to do just that.  Not to mention it’s the most professional route.  Professionalism always gets you bonus points.

Remember to keep your ears open all the time.  Pay attention in the break rooms, and when you’re eating lunch.  You could find a great new business contact in a different department.  Somebody you were completely unaware of, and someone you could benefit from.

From there it’s as simple as maintaining the relationship.  If you want to be able to get trusted information from them, you have to provide the same.  Don’t hesitate to inform them of news around the company.  From job openings, etc.  Let them know what’s going on around you, and the opportunities available, and they will do the same.

Keep track of all your personal associates.  Keep a good record of when and where you first made contact, how often you usually keep in contact with them, and the last time you had a meeting.  Usually programs like Microsoft Excel are good for forming a quick chart that you can change and read on the fly.  All of this can be useful later.

You have to keep using your business contacts so that they do not forget about you, but don’t call them everyday.  Keeping an accurate record of how often you communicate allows you to keep on that system, so that you maintain the relationship by keeping up with them as often as you should.  You can also keep track of their opinion of you this way.  If they usually call you right back after an attempt to contact them, you are high up on the importance list.  If you find they do not usually make an effort to contact you, you’re not that high priority.

Make your contact time count.  Remember, you are not friends; the whole purpose of this relationship is to keep advancing each other professionally in some way.  So keep your messages short, and to the point.  Provide valuable information quickly, and they will return the favor, and turn to you more often.

But make sure that the business relationship is a two way street.  It’s called a relationship for a reason, both of you are looking to benefit from what the other offers.  So if your contact is there for you, make sure to return the favor.  That’s one of the most important ways to keep a business relationship over a long period.

Firstly, do what research you can about your potential client.  Find out what you can about them, before making your approach, so that you can formulate a strategy specific to them.  By doing your research you already know what parts of your business apply to them, and you can focus on highlighting those positives.  Tailoring a pitch to each potential client gives you a better chance of getting their attention, and capturing their interest.

Whether you are approaching through a phone call, or an in person meeting, make sure that you stay professional.  Keep positive and courteous, through your speech and demeanor.  That will reflect in your pitch, and the potential client is more likely to respond positively in return.  Never underestimate the power of positivity.

Finally, make sure that you know your stuff, concerning your own business.  It’s not enough to highlight the points that apply to a potential client, you also need to know the answers to their questions.  You never know what they’re going to think of, so keep a broad range of knowledge on hand about your business.  By knowing the facts, and even having a guide for yourself, you can quickly supply the answer to any questions they may have.  This helps to show that your business is organized, and helpful in working with a client to get them the solution that they need.

If there is a certain uniform that you are required to wear at your job, that you have to pay for, you can deduct from your taxes.  Anything that you only wear for your job, but that couldn’t be considered street wear, is deductible.

Any travel expenses you incur as the result of your job, are also tax deductible.  This does not include money that you spend in your daily commute, on gas, etc.  Rather, this applies to a business trip.  Any gas that you have to pay for out of pocket is tax deductible.  That also goes for meals and accommodations.  So even if your job doesn’t reimburse you, essential the government will.

Any tools or special items you need for your job that you have to pay for, are also tax deductible.  So any supplies or materials that you need to have for your job, that your company doesn’t reimburse you for, you can deduct.  So don’t worry about finding money for tools that you need.

If there is a union where you work, and you’re almost forced to take part, any fees associated with that union are tax deductible.  Any of the money that they withhold from your paycheck can be deducted on your tax return.  As well as money spent on any professional membership that is required where you work.

Of course on of the easiest strategies is to take a short break if you’re feeling particularly frustrated.  Take 5-10 minutes to yourself if you’ve been frustrated working on the same problem for a long period of time without making any headway.  This way you can leave the problem, focus on something else for a minute, and you can then reenter the situation with a new perspective.

Another way to keep relaxed is to clear out any unnecessary clutter from your environment, to create a clean and concise work area that makes you feel more productive.  Bogging yourself down with cluttered items just makes you feel more trapped and overwhelmed adding to you stress level.  Which is exactly why adding plants is a good idea, as it will provide you with fresh air and more healthy natural feel to your office area.

Get a comfortable chair, it’s no use having to work for 8-9 hours in a day on an uncomfortable chair.  A comfortable body is a more relaxed body, and the more calm and relaxed that you can be, the better you’re going to feel, and that will translate into your performance.

Finally personalize your workplace.  Find out what you are able to bring in, or hang up around your cubicle, and make sure everything is office appropriate, but still make the area yours.  By letting your personality flow throughout your surroundings your identity remains unique and true to your character, taking away a little more of the corporate world stress.

What is the reason behind this depleting loyalty? Well, one of the answers could be, or more precisely the answer could be a lack of a proper recognition and reward system in companies.

It is not uncommon to find people who complain about not getting credit or rewarded for the role they played and the benefits they bring to the company. Hence, the employees’ morale weakens over the period of time, and they hop to another job as quickly as they can. The reason behind this job hopping is the absence of any intangible (read quality) benefit, in the absence of which employees look for the money and money alone. If money becomes the sole criteria for taking up any job then there will be nothing like loyalty and long-term commitment.

A proper reward system is one of the things that can stop quality employees from leaving. A reward should acknowledge the importance of the work the recipient has done for the company. The person should get due credit for the work he or she has done. This will infuse quality at the workplace, and the appreciation they get in return of the work they have done will motivate them not only to stay with your company but also to better their performance. If your company provides better work environment, and promptly return the employees’ dues then the importance of money gets belittled. Money only works wonder if everything else is indistinguishable.

A proper reward system should be responsive and customizable. No one-size-fits-all strategy should be used for rewarding the employees. If your company indulges in this then always expect the same mediocre result from the people on the other side. You pay peanuts and you get monkeys! There will not be even a single star performer if all a best performer of your company gets are peanuts and carrots.

Star performers do not just help satisfy more customers but they also help in securing good investments. We should understand here the triangular relationship between, employees, customers and investors. One better employee will fetch at least 10 loyal customers and 10 loyal customers will bring 100 more like them. This way the customer base of your company will grow and with it will grow sale of your products. The more you will sell the bigger your company will become and the better employees you will attract. These high quality employees will breed more sales that give investors more confidence in your company and the more confident the investor will have the more he or she will invest in your company.

For investors, the size of the customer base of your company is indeed important but the quality of the team that you have assembled to satisfy the needs and wants of your company’s customers are more important. Employees, customers and investors are three sides of a business triangle, weaken one of them and your business will tilt and tip over.
